JL Academy Ltd ("we", "us", or "our") is committed to protecting and respecting your privacy. This policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us.

For the purpose of the Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR), the Data Controller is JL Academy Ltd.

2. Information We Collect

Identity Data

First name, last name, job title, and organisation. If you are attending a certificated course, we may require date of birth for registration purposes.

Contact Data

Billing address, delivery address, email address, and telephone numbers.

Technical Data

Internet protocol (IP) address, browser type and version, time zone setting, and location (via Google Analytics).

3. Sharing Data with Partners

To deliver our services effectively, JL Academy shares specific data with trusted third-party partners. We only share the minimum data necessary.

A. Timian Learning & Development

If you attend a Timian Certified Course (e.g., Train the Trainer, PBM), we must share your name, organisation, and completion status with Timian Learning & Development. This is a contractual requirement to issue your BILD ACT / RRN compliant certificate.

B. TEO Academy (Online Learning)

Our online learning platform is powered by TEO Academy. If you enroll in an online or blended learning course, we will create a user account for you on the TEO platform using your name and email address. This allows you to access course materials and track your progress.

C. Mailchimp (Marketing & Resources)

When you download free resources (such as our "15 Minute Blameless Debrief" or "PBS Guide") via our website forms, your name and email address are processed by Mailchimp. You will be added to our mailing list to receive the requested resource and occasional relevant insights. You can unsubscribe at any time via the link in the footer of our emails.

4. How We Use Your Data

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

Performance of Contract: To deliver the training course you have booked and process payment.
Legitimate Interest: To send you relevant information about similar training services (unless you have opted out).
Legal Obligation: To comply with regulatory requirements (e.g., RRN Training Standards regarding training records).

5. Data Retention

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

For certified training (Timian/BILD ACT), we are required to keep training records for a minimum period (typically 3-5 years) to validate your qualification.

6. Your Legal Rights

Under certain circumstances, you have rights under data protection laws in relation to your personal data, including the right to:

Request access to your personal data.
Request correction of your personal data.
Request erasure of your personal data.
Object to processing of your personal data.
Request restriction of processing your personal data.
