JL Academy Training Course Cancellation Policy
Effective Date: 24 April 2025
This policy outlines the terms and conditions regarding the cancellation of bookings for training courses provided by JL Academy. Please read this policy carefully before booking a course.
- Scope
This policy applies to all training course bookings made directly with JL Academy.
- How to Cancel a Booking
- All cancellations must be submitted in writing via email to info@jl-academy.com
- Cancellations will only be considered effective from the date the written notification is received by JL Academy during standard UK business hours (9:00 AM – 5:00 PM, Monday to Friday, excluding public holidays). Cancellations received outside of these hours will be deemed received on the next business day.
- The notice period for cancellation is calculated in calendar days based on the date of receipt of the written cancellation notice relative to the scheduled start date of the training course.
- Cancellation Charges and Refunds
The following refund structure applies based on the notice period provided:
- Cancellation received 30 calendar days or more before the course start date: A full refund (100%) of the course fee paid will be issued.
- Cancellation received less than 30 calendar days, but more than 14 calendar days before the course start date: A partial refund of 50% of the course fee paid will be issued. The remaining 50% will be retained by JL Academy to cover administrative and other costs.
- Cancellation received 14 calendar days or less before the course start date: No refund will be issued (0% refund). The full course fee remains payable.
- Flexibility in Exceptional Circumstances: JL Academy may, at its sole discretion, consider exceptions to this policy in genuinely unforeseen and exceptional circumstances, provided suitable evidence is supplied. Any such exceptions do not set a precedent for future cancellations.
- Non-Attendance
- Failure to attend a booked course without prior written cancellation notice will be treated as a cancellation received 14 calendar days or less before the course start date.
- No refund will be issued for non-attendance, and the full course fee remains payable.
- Substitution of Delegates
- If a booked delegate is unable to attend, a substitute delegate may be nominated to take their place at any time up to the start of the course.
- Please notify JL Academy in writing (via the cancellation email address) with the name and contact details of the substitute delegate as soon as possible.
- There is typically no charge for substituting a delegate.
- Transferring Bookings
- Requests to transfer a booking to a later course date may be accommodated subject to availability and at the discretion of JL Academy.
- Transfer requests must be made in writing.
- If a transfer request is received:
- 30 calendar days or more before the original course start date: The transfer can usually be made free of charge to another available date within 6 months (subject to availability).
- Less than 30 calendar days but more than 14 calendar days before the original course start date: A transfer may be permitted subject to availability, potentially incurring an administrative fee or being treated under the 50% cancellation term at JL Academy’s discretion.
- 14 calendar days or less before the original course start date: Transfers are generally not permitted, and the booking will be treated as a cancellation under the 0% refund terms.
- Only one transfer per original booking is typically permitted. If a transferred booking is subsequently cancelled, the cancellation terms will apply based on the notice given relative to the original course date or the transferred date, whichever results in the lower refund percentage.
- Cancellation by JL Academy
- JL Academy reserves the right to cancel or reschedule training courses, for example, due to insufficient enrolment, instructor illness, or unforeseen circumstances.
- In the unlikely event that JL Academy has to cancel a course, we will provide as much notice as reasonably possible.
- Delegates booked onto a cancelled course will be offered the choice of either:
- A full refund (100%) of the course fee paid; OR
- A transfer to the next available equivalent course date at no additional charge.
- JL Academy is not liable for any consequential loss or expenses (such as travel or accommodation costs) incurred by the delegate or their organisation as a result of a course cancellation or rescheduling initiated by JL Academy.
- Refund Processing
- Where refunds are due, they will be processed within 30 calendar days of the cancellation confirmation by JL Academy.
- Refunds will typically be made using the same payment method used for the original booking.
- Governing Law
This Cancellation Policy and any dispute or claim arising out of or in connection with it or its subject matter shall be governed by1 and construed in accordance with the law of England and Wales. The courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim.
