General Health & Safety Policy
Non-Physical Training • Classroom • Online1. Scope of Policy
This policy applies to all non-physical training courses, seminars, and consultancy delivered by JL Academy.
This includes our Psychological Safety workshops, Debriefing training, and Leadership consultancy. For courses involving physical intervention (Timian PBM), please refer to our separate Physical Skills Health & Safety Policy.
2. The Training Environment
Whether training is delivered at a client's venue or a hired conference facility, we adhere to the following standards to minimise general risks:
Fire Safety
At the start of every course, the Lead Trainer will explicitly brief delegates on:
- Fire alarm testing times.
- Location of emergency exits.
- Assembly points.
Slips, Trips & Falls
Trainers will ensure:
- Walkways are kept clear of bags and coats.
- Cables (laptop/projector) are taped down or covered with cable protectors.
- Any spillages are reported and cleaned immediately.
Electrical Safety
All portable electrical equipment (laptops, projectors) used by JL Academy staff is regularly inspected (visual check) or PAT tested where appropriate to ensure it is safe for use.
3. Psychological Wellbeing & Trauma
JL Academy courses often cover sensitive subjects, including trauma, incident debriefing, and workplace stress. We recognise that these topics can be triggering for some delegates.
Our Safety Measures:
- Content Warnings: Trainers will provide advanced notice before discussing graphic case studies or sensitive material.
- Opt-Out Right: Delegates are free to step out of the room at any time if they find content distressing, without judgement.
- Safe Space Rule: We enforce a strict "Zone of Safety" where delegates can share experiences confidentially (subject to safeguarding limits).
- Signposting: Trainers can signpost delegates to appropriate support resources if significant distress is observed.
4. Online & Remote Learning
For training delivered via TEO Academy or video conference (Zoom/Teams), we advise delegates to consider their own DSE (Display Screen Equipment) safety:
Ergonomics
Ensure your screen is at eye level and your chair provides adequate support. Take regular screen breaks (we schedule breaks every 60-90 minutes during online sessions).
Environment
Ensure you have adequate lighting and are in a private space where confidential case studies cannot be overheard by others in your household/office.
5. Medical Emergencies
While the risk of physical injury in a classroom setting is low, JL Academy trainers will always verify the location of the site First Aider and First Aid Kit upon arrival at a venue.
Any accidents or near-misses occurring during the training session will be recorded in the JL Academy Accident Book, regardless of whether they are also recorded in the venue's own logs.
This policy is reviewed annually to ensure compliance with the Health and Safety at Work Act 1974 and HSE guidance.
